Position: Human Resource Assistant

Rotation: Full-Time, Monday-Friday, 8am-4pm (some flexibility) – The anticipated start date for this position is no later than March 30th/2023

Facility Description:

Ocean View is a social enterprise that currently consists of 2 long term care homes (Ocean View Continuing Care and The Birches Nursing Home) and an array of community offerings through our affiliate, Port City Home Services. In total, we serve approximately 650 clients per year through long term care, adult day, foot care services, customer ride program, and in home supports. Our workplace is like a second home to about 450 employees and there are over 150 volunteers that contribute unpaid work to our enterprise.

Job Summary:

Reporting to the Senior Director and working in partnership/collaboration with Directors and other members of the Ocean View and The Birches management teams, this position provides support to all managers related to key human resource functions of the enterprise. The HR Assistant supports the recruitment and onboarding of new staff, document creation, maintenance of postings and vacancies, supports decision makers by providing relevant HR related data for organizational monitoring processes (e.g., Dashboard).

Key responsibilities include:

  • Responsibility for the recruitment and onboarding of new employees (including hire authorization process, job postings, resume organization, interview coordination, reference checks, vulnerable sector, and criminal record checks, creating job offers and related documents, HR aspects of the new hire orientation, and onboarding process, etc.).
  • Maintains an accurate list of employees, position vacancies, and postings.
  • Creation and maintenance of all employee files.
  • Contributes to the collection and distribution of HR data.
  • Coordinates exit interviews to gain a more in depth understanding of turnover.
  • Facilitates monthly corporate orientation sessions.
  • Posts and maintains all internal/external job postings.
  • Provides administrative support (minutes, scheduling, agenda, etc.) for various teams and committees.

We are searching for candidates with the following:

  • 2 years of successful completion of post-secondary education (Office Administration, Business Administration, Human Resources).
  • 2 years’ experience in a Human Resources environment (preferably unionized), with experience in recruitment.
  • Experience in a unionized Long-term Care environment an asset.
  • Strong organizational skills, and advanced proficiency in Microsoft Office Suite and HR Information System (HRIS) programs.
  • Effective attention to detail and high degree of accuracy.
  • Ability to effectively communicate both verbally and in writing.
  • Ability to respond appropriately in pressure situation with a calm and steady demeanour.
  • Access to a vehicle and a valid driver’s license
