Job Summary

Reporting to the President & CEO, the Executive Assistant provides administrative support to the President & CEO, Board of Directors and Senior Management as required; as well as attends team meetings to record minutes. The Executive Assistant provides leadership for the Reception staff. The position is based at our Central Office but travel from various sites is required in the HRM so access to a vehicle is required.

Additional Responsibilities Include:

  • Transcription and distribution of team meeting minutes.
  • Scheduling and time management of senior staff as required
  • Reception relief (ensuring relief is scheduled).  
  • Maintenance of confidential files and records management
  • Coordinate policy and procedure development, approval, and distribution process.
  • Provide administrative support during the annual Licensing and Business planning processes, as well as the Accreditation process as required.
  • Develop / generate reports from existing database.
  • Photocopying, filing, and faxing as required.

Competencies:

  • Strong computers skills, including proficiency in Microsoft Word, Excel, and Outlook.
  • Ability to create/format reports, forms, presentations, etc.
  • Extensive database, internet, and e-mail experience.
  • Exposure to basic accounting functions and an aptitude for math.
  • Demonstrate reliability, initiative, and the ability to work independently.
  • High degree of professionalism and confidentiality.
  • Excellent interpersonal and communication skills.
  • Excellent organizational skills with the ability to manage multiple priorities.
  • Ability to work with tight deadlines and in a high paced environment.

Education / Experience:

  • Minimum of Grade 12 with a Certificate/Diploma in Medical and/or Office Administration
  • At least Five (5) years of executive assistant experience, preferable in a health care setting
  • Accurate keyboarding with a minimum speed of 60 wpm is required

Salary Range:  Ocean View offers a competitive compensation package including a comprehensive benefits package

Hours of Work:  40 hours weekly (Monday – Friday), flexible working hours is required as many meetings are evening commitments.
